From balestrieri at monterey.org Thu May 5 18:31:34 2022 From: balestrieri at monterey.org (Christie Balestrieri) Date: Thu, 5 May 2022 16:31:34 +0000 Subject: [Koha-acquisitions] manual invoicing Message-ID: Hello, Fellow Acquisitions Members! I would like to inquire about invoicing through koha. We used to utilize manual invoicing, which was beneficial for inventory control and to ensure correct pricing and matching of physical invoices to koha invoices for invoice reconciliation. This FY, we have partnered with new vendors and have outsourced our C&P. As a result, we have decided to go with EDI invoicing. A few concerns that I have are the following: 1. Credits are not accounted for in koha through EDI invoicing (atleast not according to information I have received or can figure out) 2. It is challenging to match up pricing of "received" items according to the pricing that was quoted when ordering (since everything is automated). It was easier to track overcharges or incorrect pricing when entering invoices manually and receiving items manually. 3. It is almost the end of our FY, and through troubleshooting with vendors and Bywater, our physical invoices are still not matching up with koha invoicing. This mainly has to do with taxes charged. While I know many of you are not charged taxes, we are charges taxes on items + C&P with 1 vendor and items + processing (not cataloging) with another vendor. This has caused the need for special script to be added in the EDI plug-ins for each vendor. Are any of you still utilizing manual invoicing? If any of you are utilizing EDI invoicing, have you had any of the above challenges? Are most of you including C&P charges into the item costs(if outsourcing), or are you tracking those charges separately? Any insight would be much appreciated. If it is easier to address this topic on our next meeting, that would be OK, too!
